The rollout
A structured approach is crucial for a successful rollout. Nij Smellinghe chooses a hospital-wide approach instead of a phased rollout per polyclinic. In other words, all departments will start at the same time.
The kickoff
In November, they will officially kick off the rollout of Indiveo with a knowledge and inspiration day in the hospital's auditorium. They will receive representatives from various professional groups.
During this meeting, the Pulmonary Diseases and MDL outpatient departments will share their experiences with colleagues. These polyclinics have been working with Indiveo for some time and know all the ins and outs. After this official kick-off, they will take until January to visit all outpatient clinics for an introduction and to define the responsibilities of editor and controller.
Departments start at the same time
Before the polyclinics get started with the Divis, a clear manual will be shared with the polyclinics. This manual provides step-by-step instructions from logging in to publishing the Divis.
Outpatient clinics will then have two months to get started with the first Divis. By the April 1 deadline, all outpatient clinics will publish their first Divis. In total, more than 40 Divis are ready to be published by the communications department. While this creates a temporary increased workload, they clearly communicate the extended response time, which promotes understanding and cooperation.
Feedback from the outpatient clinics has been very positive. The intuitive interface and the clear benefits of visual information ensure a smooth acceptance.

Three Tips from Irma for a Successful Rollout of Indiveo
1. Detailed manual: Provide a comprehensive manual in which you describe everything step by step in simple, understandable language. Make the manual as specific as possible and include examples of where and how to log in, as well as the steps for editing and publishing a Divi. This will make it easy for anyone, regardless of their technical knowledge, to use the system.
2. Temporarily increase capacity in the communications department: Consider a temporary increase in capacity in the communications department. During the rollout around April 1, we see the stock of Divis to be published pile up, making the response time of the communications department longer than usual. Additional capacity helps avoid this type of bottleneck and ensures a smooth rollout.
3. Hospital-wide: Opt for a hospital-wide rollout rather than a clinic-by-police approach. This allows everyone to work on the project simultaneously, which promotes cooperation and enthusiasm throughout the hospital. This shared enthusiasm makes the rollout smoother and more successful.
Look Ahead
The success of the first phase of the rollout of Indiveo marks a crucial step in further digitization within Nij Smellinghe. The hospital had set a goal of publishing five Divis per outpatient clinic by 2025, but most outpatient clinics have already achieved this.
By now, 200 Divis are already live. Indiveo is now a standard part of the care process at all outpatient clinics, and the successful rollout serves as a model for other digitization projects within the program "Vision for Outpatient Clinics."
